You will join an interdisciplinary R&D team where Artificial Intelligence is the central engine of our active molecule discovery.
About the Role
The Executive Assistant & Office Support role provides high-level executive assistance to the CEO and Executive Committee (ExCom), while also contributing to local office life in Auzeville-Tolosane (~35 employees) through event planning and light operational support. With the ExCom based in RTP, North Carolina, this position is highly international and requires frequent cross-border coordination across time zones, cultures, and geographies. The role is central to ensuring efficient leadership support, seamless communication, and a positive, well-organized office environment in Auzeville-Tolosane.
Key Responsibilities
1/Executive & Board Support
Manage CEO and ExCom calendars, agendas, and scheduling, including coordination across U.S. and European time zones.
Coordinate domestic and international travel arrangements, including logistics and visas.
Organize and support internal and external events (e.g., ExCom meetings, board meetings, strategy offsites).
Manage expense and receipts reconciliation for the CEO.
Act as liaison with the Board of Directors and external stakeholders; ensure smooth communication and logistics.
Draft, edit, and proofread correspondence, reports, and presentations in English and French.
2/Local Office Support (Auzeville-Tolosane HQ)
Plan and organize local events such as townhalls, celebrations, and staff engagement activities.
Provide light support for office needs (e.g., supplies, coordinating with facility manager as required).
Contribute to maintaining a professional and welcoming office environment.
3/ General Administration
Maintain records, filing systems, and databases as required.
Provide ad hoc support on cross-functional projects and initiatives.
Qualifications
Fluent spoken and written English and French (mandatory).
Multiple years of experience as an Executive Assistant or in a comparable role.
Strong organizational and planning skills, with proven ability to manage multiple priorities.
High reliability, discretion, and ability to handle sensitive information.
Team player with excellent interpersonal skills, able to interact across cultures and organizational levels.
Flexible with working hours (standard hours on average, with some extended days for events, offset by lighter days afterwards).
Comfortable working in an international environment, with frequent interaction with U.S.-based ExCom and stakeholders.
Required Skills
Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and collaboration platforms (Teams, Zoom).
Strong written and verbal communication skills; ability to draft and edit high-quality documents.
Problem-solving mindset, proactive approach, and ability to anticipate needs.
Attention to detail and accuracy in all tasks.
Experience coordinating with senior stakeholders, including board members and external partners.
Ability to work independently and manage competing deadlines under pressure.
